Halkidiki4Villas (“we”, “us”) operates halkidiki4villas.com, a website for renting private holiday villas in Halkidiki, Greece. This page explains what personal information we collect, why, and what your rights are. We keep it deliberately simple, because what we do with your data is simple.
What we collect
We only collect what you give us directly:
- Booking requests: your name, email address, phone number, chosen villa and dates, party size, any optional extras you select, and anything you write in the message field.
- Contact messages: your name, email address and your message.
- Live chat: if you start a chat, the messages you send, plus the technical details the chat tool records (browser, approximate location from your IP address, and the pages you viewed on our site).
- Technical basics: like almost every website, our server keeps short-lived logs (IP address, browser type) for security and troubleshooting.
We do not take payments through this website, so we never see or store card numbers or bank details. We do not use advertising trackers or analytics cookies, and the site works without asking you to create an account.
Why we use it
- To reply to your booking request, confirm availability, and arrange your stay (performance of a contract / steps before a contract — GDPR Art. 6(1)(b)).
- To answer questions you send us (our legitimate interest in responding — Art. 6(1)(f)).
- To meet legal obligations that come with renting accommodation in Greece (Art. 6(1)(c)).
We never sell your information, and we do not use it for marketing lists.
Who sees it
Your booking details are shared only with the people needed to host you: the owner or caretaker of the villa you are booking. Beyond that, your data stays with us and the technical providers that run the website (hosting and email delivery).
Villa pages include an embedded Google Map. When a page with a map loads, Google receives the technical data any embedded content receives (such as your IP address). See Google’s own privacy policy for details. The same applies to our chat provider (Tidio) when the chat window loads.
How long we keep it
Booking requests and correspondence are kept while we arrange and host your stay and for up to 2 years afterwards, so we can help with follow-up questions and returning guests. You can ask us to delete them sooner at any time. Server logs are kept only briefly.
Live chat
Our website offers a live chat window, provided by Tidio (Tidio LLC / Tidio Poland sp. z o.o.), which acts as a processor on our behalf. If you write to us in the chat, your message and the technical details listed above are processed and stored on Tidio’s servers so that we can read and answer you, and so the conversation is still there if you come back. Tidio also sets its own cookies in your browser to keep the conversation running between pages.
We use this only to answer your questions about the villas (our legitimate interest in helping visitors — GDPR Art. 6(1)(f)). You are never required to use the chat: the phone number and email address on this site work just as well. You can ask us to delete a chat conversation at any time.
Cookies
The site itself uses only the essential cookies WordPress needs to function (for example, when the site owner logs in). We do not use advertising cookies and we do not track you across other websites. Two embedded services do set their own cookies when you use them: the live chat described above, and Google Maps on the villa pages. You can block or delete cookies in your browser settings at any time; the site will still work, though the chat may not keep your conversation.
Your rights
Under the GDPR you can ask us at any time to:
- see a copy of the information we hold about you;
- correct it or delete it;
- stop using it (where we do not have a legal duty to keep it).
Just email us — no forms, no fuss. If you are unhappy with how we handle your data, you also have the right to complain to the Hellenic Data Protection Authority (dpa.gr).
